About the Role We are seeking a Logistics Operations Specialist to manage the day-to-day execution of inbound supply flow. This role ensures purchase orders move efficiently from purchase confirmation to warehouse receipt through proactive vendor follow-up, shipment coordination, and issue resolution. It ensures alignment between purchase order commitments, shipment execution, and system data, so that operational reality consistently matches what is reflected in the system.
This is a hands-on, execution-focused role that works closely with the Senior Purchasing Specialist, who manages escalations and vendor strategy.
Key ResponsibilitiesPurchase Order Execution & Vendor Communication
Manage routine vendor communication post-PO placement, including confirmations, ship dates, revised ETAs, and status updates
Validate order confirmations against PO terms, quantities, pricing references, and delivery instructions
Proactively ensure a consistent follow of open orders, surfacing risks early, and preventing service level impacts
Expediting & Exception Management
Proactively expedite at-risk orders and coordinate corrective actions for delays, shortages, or damages
Communicate ETA changes and operational impacts internally, supporting mitigation plans for critical items
Track recurring issues and escalate patterns to the Senior Purchasing Specialist for vendor performance management
Inbound Shipping, Customs & Receipt Readiness
Coordinate inbound shipments with vendors, carriers, brokers, and internal teams from origin through delivery
Prepare, collect, and validate shipping and customs documentation (commercial invoices, packing lists, bills of lading, Incoterms, etc.)
Support customs clearance processes and ensure documentation is accurate and submitted on time
Align inbound shipments with warehouse scheduling and ensure readiness for receiving
Shipment Visibility & Systems Accuracy
Track inbound shipments and maintain accurate status updates, ETAs, and exception notes in ERP/WMS systems
Ensure alignment between system data and actual shipment status
Maintain organized records of shipments, documentation, and vendor communications for visibility and audit purposes
Support cost-efficient logistics execution by avoiding unnecessary expedited freight, improving coordination, and minimizing delays.
Cross-Functional Coordination
Collaborate with Purchasing, Inventory, Order Management, Warehouse, and external partners to ensure smooth inbound flow
Support outbound or special logistics coordination as needed, while prioritizing inbound operations
Contribute to process improvements, SOP adherence, and reporting related to inbound logistics performance
Qualifications
3–6 years of experience in logistics, supply chain operations, purchasing operations, or inbound transportation coordination
High level of discipline in maintaining accurate and timely system updates (ERP/WMS) to reflect real-time operational status
Experience in distribution, wholesale, e-commerce, or a similarly fast-paced operational environment
Hands-on experience with vendor follow-up, freight coordination, shipment tracking, and issue resolution
Experience with cross-border shipping and customs processes (Canada/U.S.) is a strong asset
Post-secondary education in Supply Chain, Business, Operations, or a related field is preferred (or equivalent experience)
Experience with ERP systems required (NetSuite preferred; SAP, Oracle, Microsoft Dynamics also relevant)
Exposure to WMS/TMS systems is an asset
Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment
Effective communication and coordination skills across internal teams and external partners
Pay: $60,000.00-$70,000.00 per year
