Rental Policies & Procedures
At Canada Welding Supply, we know that welding projects can be unpredictable and jobsite timelines shift. Our rental program is designed to be flexible and straightforward, ensuring you get the right equipment for the job when you need it. All equipment rentals must adhere to the guidelines outlined below to ensure a smooth process from pickup to return.
Pickup & Return Procedures
- In-Store Only: All rental equipment is strictly for local pickup and drop-off. We do not ship or deliver rental units.
- Location: Rentals must be picked up and returned to our Mississauga showroom located at 6829 Pacific Circle, Mississauga, ON L5T 1S6.
- Operating Hours: Pickups and returns can be completed during our standard business hours:
- Monday - Friday: 8:00 AM - 5:00 PM
- Saturday: 8:30 AM - 2:30 PM
-
Rental Agreement & ID Verification: The renting party must be present at the time of pickup to physically sign the Canada Welding Supply Equipment Rental Agreement. A valid government-issued photo ID matching the name on the credit card used for the deposit must be presented at the counter.
Deposits and Payment Terms
- Credit Card Required: Payment for all rental deposits must be made via credit card only. Cash, debit, or account terms are not accepted for the upfront deposit hold.
- Upfront Flat-Fee Deposit: A flat-fee deposit ranging from $250 to $1,000 is required at checkout. This is processed as a full upfront charge. The exact deposit amount is determined by the specific type and value of the equipment being rented.
- Inspection and Refund Window: To ensure the safety and reliability of our fleet, all returned equipment undergoes a technical inspection. Approved deposit refunds are issued directly back to the original credit card within 3 to 5 business days of the return date, provided the equipment passes inspection.
-
Insurance Requirements: Canada Welding Supply does not offer an internal equipment protection plan or damage waiver. The renter assumes full risk of loss, theft, or damage from the moment the equipment leaves our facility until it is returned. Renters are required to carry adequate insurance covering the full replacement value of the rented items.
Rental Durations, Early Returns & Extensions
- Flexible Durations: We offer short-term rentals ranging from 1 to 6 days, as well as weekly and monthly rates.
- Early Returns: If your project finishes ahead of schedule, we will refund you for the unused days. Early return refunds are calculated by reverting to the appropriate rate tier for the exact time you had the equipment. For example, if you book a deeply discounted monthly rental but return the machine after five days, your final bill will automatically adjust to the standard daily or weekly rate for those five days.
- Extensions & Late Returns: If you need to keep the equipment past your original return date, you must notify our sales team before the close of business on your scheduled return day. Approved extensions are simply billed at your standard daily rate for the extra days. Please note that keeping equipment past the return date without notifying our staff will result in an increased rate of 150% of the standard daily rate for the unauthorized extra days.
Accessories, Consumables & Equipment Care
- Complete Package Returns: We provide all the accessories and cables you need to get the job done. All equipment, cables, hoses, and accessories must be returned in their original working condition. Original transit packaging or crates must also be returned.
- Consumables Not Included: Please note that welding consumables (including shielding gas, welding wire, filler metals, and tungsten) are not included in the rental cost and must be purchased separately.
- Missing or Destroyed Items: Normal wear and tear, limited to cosmetic surface scratches that do not affect structural integrity or operational function, is expected. However, if equipment or accessories are destroyed, heavily modified, or missing upon return, the exact retail replacement cost of that item will be deducted directly from your upfront deposit.
- Strict No-Tampering Policy: For safety and liability reasons, customers are strictly prohibited from attempting field repairs on Canada Welding Supply equipment. Unauthorized repairs, modifications, or splicing of cables will result in the immediate forfeiture of your deposit, and you will be held fully responsible for the complete retail replacement cost of the equipment.
